A Manifesto for Equity in Scientific Event Participation

Scientific events play a crucial role in the dissemination of research findings, fostering collaborations, and enhancing scientific progress. However, there exists a significant disparity in the participation rates among academics worldwide, just as in any other field. While certain researchers benefit from support provided by universities or funding agencies, others from peripheral countries face significant barriers.

To address this inequality, we propose a set of practical and impactful measures. We urge conference and congress organizers worldwide to adopt the following principles and implement them in their event planning:

  • Affordable Conference Fees: Ensure that conference fees are within reach for researchers from peripheral regions. Introduce diverse pricing options and waivers based on country groups, enabling greater inclusivity.
  • Scholarships for Early Career Researchers and Students: Provide opportunities for scholarships targeted at early career researchers and students. By offering financial aid, we can facilitate their meaningful participation and foster the growth of young scientific minds.
  • Virtual Participation: Embrace the inclusion of virtual participation in conferences. Make this option available to researchers from peripheral countries at little to no cost, enabling them to engage and contribute without facing financial burdens.
  • Accessible Conference Locations: Organize conferences in countries with fewer visa requirements and easy accessibility. By selecting host countries strategically, we can remove unnecessary barriers and encourage broader representation.
  • Affordable Accommodation: As conference organizers, provide a comprehensive list of affordable accommodation options for researchers. By sharing this information, we can alleviate the financial strain associated with attending conferences, particularly for those from peripheral regions.

Furthermore, we encourage funding agencies and universities to consider early payments for conference participation, rather than relying solely on reimbursement methods. This alternative approach can alleviate financial burdens and create a more equitable environment for researchers worldwide.
